Parent contact log

Contact history

The log records the date, channel, subject, and outcome of family communication, creating a dependable history when several conversations concern one pupil.

Write promptly

Complete an entry soon after a call, meeting, or message, and distinguish the family’s statements from the school’s agreed next steps.

Assign follow-up

Give every promised action a named owner and due date so that a callback, document, or referral is not lost inside a narrative note.

Use neutral wording

Record observable facts and clear agreements rather than assumptions about motives, tone, or circumstances; this keeps the account professional and useful.

Limit access

Contact notes can contain personal information, so restrict this record to colleagues with a legitimate need to know and follow retention rules.
